JOB SUMMARY
The job of the School Office Manager was established for the purposes of providing complex administrative and secretarial support to the Principal; overseeing the day-to-day school office activities and relieving the Principal of administrative details; monitoring assigned activities; and providing information, recommendations and/or direction as may be requested by the Principal.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
- Follows and maintains knowledge of all District policy (ies) and procedures.
- Performs a variety of general office duties, including answering telephones, routing telephone calls or messages to appropriate staff, assisting tardy students, operating and troubleshooting general office machinery, typing, proofreading, filing, sorting, and handling incoming and outgoing mail.
- Provides support to Principal including, but not limited to preparation and running of enrollment reports, special programs, and financial reports.
- Completes a high volume of computer work, using District computer programs, to input high volumes of data with speed and accuracy, including confidential data, in an environment with constant interruptions.
- Types a variety of materials from brief verbal or written instructions.
- Provides first point of contact in the school office for students, families, community, staff, and vendors.
- Researches, creates, inputs, organizes, and edits relevant data as needed or requested and prepares in a usable format.
- Completes and maintains registration and withdrawal information of individual students as required, including, but not limited to: preparing and mailing student records, fees, placement, parent requests, transfer requests, free and reduced lunch documents.
- Maintains and oversees student cumulative files, student files, student portfolios, and discipline data.
- Works with various school and student reports including, but not limited to: attendance, report cards, transcripts, immunization records, schedules and registration.
- Assists Principal during in-service days and staff meetings as needed.
- Issues all building keys and maintains accurate key inventory.
- Prepares requisitions for staff reimbursements, purchase orders, and school orders.
- Assists in budget preparations and reviews general budget reports monthly.
- Prepares bank deposits, reconciles school accounts, and completes bookkeeping for school accounts.
- Maintains an accurate inventory system and orders supplies for the building.
- Maintains substitute teacher system and places calls to fill any unfilled positions; prepares and maintains substitute timesheets.
- Processes field trip requests.
- Assists in administering medications within the scope of District policy(ies) and state and federal law
- Provides first aid to injured or ill students and assists with health screenings.
- Maintains current health, medication, accident and immunization records, forms and reports and distributes as required.
- Processes and maintains employee leave forms.
- Appropriately maintains and secures confidential records and inquiries.
- Professionally represents the school and the District in interactions with parents, staff, and students.
- Maintains appropriate certifications and training hours as required.
- Complies with applicable District, state, local and federal laws, rules and regulations.
- Attends work regularly and is punctual.

PAY RANGE: $20.09 - $25.95/hour
CONTRACT LENGTH: 213 days/year
QUALIFICATIONS:
- 3 years of school secretarial/office management experience preferred
- Previous experience working with school data processing systems preferred
- Strong customer service skills and attention to detail
- Excellent computer skills (word processing, spreadsheets, bookkeeping, etc.)
- Bilingual preferred
